Chatwoot self hosted or a hosted help desk for SaaS

A free licence is only one part of the bill. Compare Chatwoot editions, hosting responsibilities and a flat price hosted option for a small SaaS team.

💡
Quick answer: Self hosting Chatwoot removes the Community Edition licence fee, but your team still owns hosting, backups and upgrades. For a small SaaS that wants a public help centre and everyday support tools without running another service, Helpdesky Pro is $5 a month for unlimited seats. Choose Chatwoot when infrastructure control or its broader messaging channels justify the extra responsibility.

Checked on 30 October 2026. US dollars, before taxes and extras. Helpdesky publishes this comparison. This is a buying guide, not a deployment benchmark.

What do three and six people pay each month?

Start with the software subscription. These are the vendors’ displayed monthly prices, without an annual discount or temporary promotion. The Chatwoot Cloud rows include a public help centre; self hosted rows exclude infrastructure and maintenance.

Base subscription difference: against Cloud Startups, Helpdesky Pro is $52 lower for three people, approximately 91%, and $109 lower for six, approximately 96%. Against Business, the differences are $112, approximately 96%, and $229, approximately 98%. Each percentage divides the price difference by the corresponding Chatwoot total. These are not total cost savings or claims of identical features.

There is no percentage saving to calculate against a $0 Community Edition licence. The useful question there is what it costs your business to operate it.

Which Chatwoot plan belongs in the comparison?

Startups is the lowest paid Cloud tier shown with a help centre. Hacker supports two agents and 500 monthly conversations, but excludes both the help centre and Captain AI and retains data for 30 days. It does not fit either team size above.

Choose Business if teams and automation rules are requirements. Paid Cloud conversations are subject to fair use. Startups retains data for one year; Business for two. Additional Captain credits cost $20 per 1,000. Included credits are a plan allowance, not a promise of unlimited AI answers.

For self hosting, check the edition as carefully as the server. Premium Support adds capabilities including custom branding and roles; SSO and SLA policies sit in Enterprise Edition. A free licence is not the same package as every paid feature. The current pricing matrix is the source for those boundaries.

What does self hosting actually put on your team?

Think of it as accepting ownership of another production service. Someone must know what is running, notice failures and recover the system when the usual maintainer is away. A successful installation is only the beginning of that job.

Chatwoot’s deployment requirements cover the database, background processing and storage as well as the application. Size the deployment for workload and attachment growth, not just agent count. Three busy agents can create more load than six occasional contributors.

  • Hosting: obtain a quote for the actual application, database, file storage and network needs.
  • Recovery: decide what must be backed up, where copies live and how you will prove they can be restored.
  • Maintenance: assign an owner for release reviews, upgrades, monitoring and incidents.
  • Continuity: make sure a second person can recover access and understand the deployment.

The official backup guide includes the database, uploaded files, configuration and code customisations. Its upgrade guide calls for reviewing intervening releases and testing Linux VM upgrades on a staging instance. Include that work in the decision before calling the system free.

A managed hosting provider can take on some of these tasks. Ask exactly which ones, including application upgrades and restoration support. A server management service and a fully managed help desk can leave very different responsibilities with your team.

How can you make a fair operating budget?

🧮
Use your own assumptions. Compare licence + infrastructure + external usage + maintenance time. Keep initial migration and setup work separate. The example below is an illustration, not a hosting quote or a measured Chatwoot workload.

Suppose a team budgets $30 a month for infrastructure and related services, and values two hours of monthly maintenance at $50 an hour. Community Edition then has an illustrative operating budget of $130: $0 licence + $30 services + $100 time, before AI, taxes or unusual incidents.

Assumed monthly maintenanceTime value at $50/hourCommunity budget with assumed $30 services
30 minutes$25$55
2 hours$100$130
5 hours$250$280

Those totals could apply to either team size only if the same infrastructure and maintenance assumptions hold. They do not establish that a $30 deployment is sufficient. Replace that number with a current provider quote and test the capacity you need.

Staff time is an opportunity cost, not necessarily a new cash payment. An existing operations team may absorb the work efficiently. A founder interrupting product development to recover a support inbox may value those hours very differently.

Hosted software also needs administration, content upkeep and support staff. Do not compare a fully loaded self hosting budget with a hosted subscription while pretending all hosted work disappears. Compare the additional infrastructure work separately from tasks both options require.

When is Chatwoot the stronger choice?

Consider Chatwoot when running the software on infrastructure you control is a firm requirement, or when you need its wider channel coverage, such as WhatsApp, Instagram, SMS or LINE. Confirm each channel’s setup requirements and any separate service charges before committing.

Helpdesky’s documented channel comparison says it does not cover those four channels. A lower subscription is not a substitute for a channel your customers rely on.

Self hosting also lets you decide how to run and customise the deployment. That control can be valuable even when it costs more. It does not automatically keep all information inside your server: email, messaging integrations and external AI services still need their own review.

Elestio’s video below gives a visual introduction to Chatwoot and deployment options. It is an older walkthrough from a hosting provider, useful for orientation rather than current pricing or an independent performance test.

When does a hosted help centre make more sense?

Start with Helpdesky when your support workflow centres on documentation, website messaging, contact forms, a customer ticket centre and email forwarding. Pro puts those tools and unlimited human seats in one $5 monthly plan for one workspace. You can involve a developer or founder without adding a seat fee.

For AI, Ask AI supports your own provider key, including OpenAI, Anthropic, Google and xAI. This gives you provider choice, visibility into the separate usage bill and access to that provider’s spending controls. Choose among the models supported by the integration; it is not a promise that every model is available.

Check whether your chosen provider’s budget setting is an alert or an enforced limit, and monitor actual usage. Unlimited Helpdesky conversations do not mean unlimited free AI tokens.

If your main concern is owning the design of your public documentation, Helpdesky’s headless publishing option may be enough. Your website fetches articles through the Content API and renders them in your templates. That gives you control of presentation while Helpdesky continues to run the content service; it is not self hosting the whole help desk.

Before changing platforms, use our help centre migration checklist to assess URL ownership and redirects. Hosting preference should not obscure the practical cost of moving existing content.

What should you prove before choosing?

Run a short evaluation around real work: a documentation question, an email conversation, a case requiring a developer and a customer returning to an earlier ticket. Check how each person finds context and takes responsibility for the reply.

For self hosting, add a restoration rehearsal and an upgrade rehearsal to that evaluation. For hosted software, check export options, supported channels and the limits of the chosen plan. Record the outcome and who will own the system after purchase.

Pick self hosting because you need the control and can sustain the work. Pick a hosted tool because its workflow fits and the managed service is worth paying for. Neither decision should rest on a zero licence fee alone.

Frequently asked questions

Is a free licence enough to make self hosting cheaper?

No. Include infrastructure and the value of maintenance time, then compare equivalent requirements. Existing capacity and experienced staff can change the result substantially.

Do three and six agents always need different servers?

No. Workload, concurrent activity, attachments and background processing matter. Obtain a capacity estimate and test it; headcount alone is not a server sizing method.

Does paying for self hosted support remove the hosting job?

No. A software support entitlement does not by itself transfer responsibility for infrastructure. Check the licence and any separate hosting agreement for the exact division of work.

Is Helpdesky headless publishing the same as self hosting?

No. Your site renders the public articles, but their content service remains hosted by Helpdesky. It is a presentation option, not a way to run the entire platform on your server.

Does the $5 Helpdesky plan include the AI provider bill?

No. Pro covers the platform for one workspace. The provider connected through your own key bills its usage separately, so include that in your budget.

Should I move platforms just to reduce seat charges?

Only after checking workflow fit and migration effort. A lower recurring subscription can be useful, but missing channels, lost context or a difficult content move can outweigh it.
